PawWow Privacy Policy

The operator and contact details for PawWow are listed below. This policy explains what we process, why we use it, where providers are involved, and how you can control or delete your information.

Information PawWow can process

  • Live voice audio and messages: streamed to provide a reply; ordinary 1:1 call audio is not stored as an audio recording.
  • Saved summaries and memories: unless Store nothing is on, PawWow may derive them from conversations during normal periodic or end-of-conversation memory processing; this is not limited to things a person expressly asks it to remember.
  • Full transcripts: optional; retained only when transcript saving is enabled and the user has separately agreed.
  • Quality-testing transcripts: optional, separate consent; unredacted material is limited to seven days or less.
  • Recorded rooms: only rooms marked as recorded before joining, with every participant’s agreement; audio and transcript material are retained for up to 14 days.
  • Account and settings data, any age declaration you choose to make, and minimal consent receipts.
  • Documents you upload or select, their names and file details, extracted text, searchable chunks and embeddings used to answer questions or search those documents.
  • Sign-in information supplied by your sign-in provider, such as your name, email, profile picture and account identifier; session cookies and local storage used for authentication and interface preferences.
  • Technical connection, device/browser, error and performance information needed to operate and secure the service, and correspondence you send to our support address.

Why we use it

  • Provide live AI voice, shared rooms, selected document features and, when enabled, background AI assistance using the context needed for those features.
  • Keep summaries and derived memories by default unless Store nothing applies, and keep transcripts only where the separate transcript setting and consent allow storage.
  • Authenticate accounts, remember preferences, answer support and privacy requests, prevent misuse, and keep limited account, security and consent evidence.
  • Operate and troubleshoot the service using technical monitoring. Optional captures of conversation content for quality testing, diagnostics or recording require their separate notices and consent.
  • Room participants receive the conversation you share with them. Service providers receive the information needed for the enabled feature. We may also disclose specific records where an applicable legal obligation requires it.

“Store nothing”

Store nothing stops PawWow from saving optional call content: summaries, memories, full transcripts, diagnostics, and quality-testing captures. It does not stop the live processing needed to answer a call, and it does not remove minimal account, security, or consent records. It also does not delete existing saved content; use Settings to delete that separately.

Optional recording and quality testing still require their own consent.

Retention and deletion

  • Saved conversation summaries and related saved conversation data default to 365 days. The server-side setting can change the window; zero disables automatic expiry.
  • Optional full transcripts follow the saved-conversation retention setting. Withdrawing transcript-saving consent stops new saved raw turns and purges existing saved raw turns; summaries and memories have separate deletion controls.
  • Optional quality raw transcripts and diagnostic captures are retained for no more than seven days. Pseudonymous quality findings/reviews are retained for no more than 90 days.
  • Recorded-room audio and transcript material is retained for up to 14 days.
  • Pseudonymous operational voice-monitoring records are kept for 30 days by default and for no more than 365 days.
  • After account deletion, a minimal keyed-hash marker is kept for 30 days to stop old sessions recreating the erased account. Minimal pseudonymised consent proof is kept for 365 days, with receipt scope and UI/phone evidence removed.
  • Google Gemini may retain prompts, context and outputs for abuse monitoring for 55 days, including authorised review. Session resumption is enabled by default and can retain session state for up to 24 hours. If Google Search grounding is enabled, its separate retention can be 30 days. These provider records have separate controls from PawWow’s saved history.
  • PawWow does not promise a fixed backup deletion time. A deleted item may remain in backups until their normal expiry or rotation.
  • Memories and uploaded documents remain until deleted or covered by a configured retention policy. Delete all saved data and Delete account remove the supported live-system records; account deletion also removes your account after cleanup succeeds.
  • Deletion can remain pending while active processing stops or a storage service is unavailable. A pending or failed request is not confirmation that erasure finished; retry or contact support. Shared-room deletion preserves other participants’ original tracks where appropriate. We cannot erase copies independently made by other participants.
  • The periods above describe ordinary product retention. Applicable legal duties may require specific records to be handled differently; they are not a promise that every provider or backup copy is erased within those periods.

Conditional providers and transfers

Feature data may be processed outside India. A listed provider is used only when the relevant feature and deployment configuration require it; this list does not say every provider is active or that its processing is in India.

Contact and grievance route

In the signed-in app, open Memory → Privacy (on mobile, choose Privacy in the Memory section menu). You can change storage choices, withdraw optional consent, export saved data, delete saved data, or delete your account. Contact the privacy or grievance address above for access details, corrections, nomination requests or help with a failed request.

Include your account email and a description; do not send your password or unnecessary identity documents. We may need proportionate identity verification to protect your account. Contact the operator identified in the contact details first about a complaint.

We aim to respond within 30 days, subject to any shorter applicable deadline. You may use the Data Protection Board of India complaint route when the relevant provisions and mechanism apply. India’s DPDP framework takes effect in stages; nothing here removes rights under laws currently applicable to you.

Users under 18 and incidents

Students and other people under 18 may use PawWow with the permission of a parent or guardian, who is responsible for supervising that use. We will assess a suspected personal-data breach and notify affected people and authorities where required by applicable law.
